Gingoog City Water District - Warehouse Inventory Management System
To improve warehouse oversight and streamline inventory tracking, Gingoog City Water District commissioned the development of a custom Warehouse Inventory Management System. Built with HTML5, CSS3/Bootstrap, JavaScript/jQuery, PHP, and MySQL, the system provides real-time monitoring of incoming and outgoing materials, automates ledgering, and generates detailed monthly reports. It was designed with user-friendly interfaces and logical workflows to accommodate daily warehouse operations with minimal training. The system also includes built-in computation of material costs, enabling more accurate budget tracking and resource planning. By centralizing inventory data, the application gives warehouse staff and administrators a clear view of stock levels, usage trends, and material accountability.

Client Challenges
Prior to implementation, inventory tracking was managed manually through logbooks and spreadsheets, resulting in frequent miscounts, delayed reporting, and lack of transparency. Staff struggled with reconciling stock levels and verifying transactions, especially during audits. Monthly reports were tedious to compile and error-prone, affecting operational planning and procurement decisions. The absence of an integrated system made it difficult to enforce controls and maintain an accurate record of the warehouse’s material flow.
Result After Completion
The Warehouse Inventory Management System brought order, visibility, and automation to the water district’s warehouse operations. Staff can now easily track item movement, calculate costs, and instantly generate ledger reports and summaries for monthly reviews. Errors in reporting were drastically reduced, and the audit process became smoother and faster. The system helped the client improve inventory accuracy, reduce losses due to unmonitored usage, and make smarter procurement decisions through clear, data-driven insights.
